Keep Your Vacation Rental in Shipshape Condition with Our Maintenance Programs

Air Filter Program

OIA staff change air filters between May and September or year-round, depending on your needs. Filters are changed once per month unless additional changes are requested. Filters and labor are included. For properties with a single HVAC return, the cost is $250 for the May-September service. If you have more than one HVAC return in your home, then there is an additional charge of $15 per HVAC return per year. The year-round option is $300 for a single HVAC return and $30 for each additional HVAC return per year.

Polycart Rollback Program

Due to ordinances that are actively enforced by the Town of Caswell Beach, the Town of Oak Island and the City of Southport, OIA provides a polycart rollback program through a local vendor. OIA will continue to ask guests to roll polycarts out, but the local vendor will roll these back into corrals or to the home, which is especially important when trash pickup occurs the same day a guest departs. OIA will also pick up trash from carts not rolled out on an as needed basis. The polycart rollback program is $400 per year.

As part of this program, OIA will also ensure that your vacation rental is in compliance with local ordinances that mandate how many polycarts are required for the size of your vacation rental so that carts are not overflowing at the end of a guest stay. If an owner does not participate in the polycart rollback program, then OIA cannot be responsible for any fines levied by the town and there will be charges for any trash pickups missed. Owners who do not participate in this program will receive an $85 charge per visit for the first cart and $35 per visit for each additional cart that require pickup and disposal by OIA.

Construction debris should never go into the polycarts. All construction debris removal, whether an owner is participating in the polycart program or not, will require additional fees based on the type, quantity and time needed to dispose of the debris properly.

Winterization Program

OIA offers two options – full or partial winterization. If you choose a full winterization for the entire home, then a winterized block is placed on the property in our booking system beginning and ending on the date selected (recommended end day is March 15th, at which time your property will again be open for rentals). The full winterization program will: 1) dry out pipes, 2) add antifreeze to all toilets, 3) drain pipes, 4) set the refrigerator to its lowest setting, 5) ensure all lines to the ice-maker or outside shower are drained and 6) open all taps. The full winterization starts at the shut off valve at the property, not at the street. It does not cover damage to pipes between the meter and the property shut off. OIA recommends this service unless your property will be occupied and monitored throughout the off season. The cost for full winterization is $215, which includes the cost to dewinterize. Any tampering with the winterization process will result in the owner being solely responsible for issues that may arise.

The partial winterization program only winterizes outside showers. The process begins at the shutoff for the outside shower and does not include irrigation systems or other outside lines. The cost for the partial winterization program is $110, which includes the cost to de-winterize.

Property owners should note that if they choose to occupy the property during the winterized block and require the services of OIA staff to dewinterize the property and then re-winterize the property after the owner's departure, each additional winterization service will incur a $215 or $110 charge based on the type of winterization service required.

Hurricane Preparations

OIA offers basic preparation in the event of a tropical storm or hurricane that is forecasted to produce 45-50 mph sustained winds or higher. This includes: 1) Locking and securing all doors and windows; 2) Stacking, tying down or turning over deck furniture depending on the furniture’s weight and stability; 3) Stacking and securing pool furniture; 4) Tying hammocks and swings to a railing or removing and storing these items in a safe location; 5) Securing trash and recycling polycarts; 6) Securing gates and outside shower doors. The cost for hurricane prep is $195 per occurrence. OIA does NOT offer or coordinate hurricane boarding, however, OIA staff are happy to share a list of outside vendors should you wish to coordinate the boarding of your property. Once a storm is named in the Atlantic, OIA cannot accept additional properties into the program. This policy provides for both the safety of our staff and the necessary time to plan and execute prep for owners that have already signed up. We can, however, refer owners to outside vendors in these circumstances.

HVAC Preventative Maintenance Program

The OIA maintenance department fields more guest calls on HVAC issues during the prime season than any other type of maintenance issue. The salt air present in coastal environments corrodes HVAC units quickly, resulting in the need for more frequent repairs and replacing units on a shorter timeframe than in other locales. OIA is partnering with a number of local HVAC vendors to offer preventative maintenance programs that are designed to catch problems before they become an issue for you or your guests. Annual programs start at $190 for a single system contract to over $500 for a four system service contract. Your final cost will depend on the vendor chosen and the number of HVAC systems at your vacation rental. If HVAC problems are identified that require further repairs, owners will receive a quote for the additional repairs. If you have a vendor priority, please notate this on your addendum and they will be assigned the service. Otherwise OIA will assign this service to a local vendor based on the best pricing for your system and vendor availability at the time of your sign up.

Lawn Care

This program includes lawn mowing and string trimming around the home. Vendors will also string trim any weeds along walkways or accesses to the beach that are on the property. Additional weed control and landscaping is an additional charge and available upon request. The cost for this program varies by vendor. OIA will only request an estimate from the vendor and submit the estimate to the property owner if requested in the special requests box.

Quarterly Pest Control

Don’t let creepy crawlies turn guests off from renting your property again. Sign up for quarterly pest control through OIA and you’ll benefit from a reduced rate we have negotiated with local providers. This program is billed at up to $95 per quarter (price varies depending on vendor servicing property). As an added benefit, any basic pest sprays that may be needed between the quarterly sprays are done FREE of charge. This program does not cover the cost of any infestations that require additional treatment (ex. bed bugs).
